Who we are
We are the Barbican Association (“the BA”), an unincorporated association representing residents of the Barbican Estate. Our website address is: https://barbicanassociation.co.uk.
What personal data we collect and why we collect it
Membership details
If you become a member of the BA, we will collect your name and email address in order to identify you as a member and to fulfil our contractual obligations to you—for example to send you a digital membership card. We may also collect a contact phone number so we can assist you with your membership. We collect your address details in order to confirm your suitability for our membership tiers, and in order to send you a printed membership card should you request one. If you have an address on the Barbican Estate, we collect your status in relation to that address (for example: Freeholder, Leaseholder, Sub-tenant, City of London tenant, etc), for the purposes of maintaining a record of the proportion of leaseholders on the estate who are members; as a Registered Tenants Association (RTA) we are obliged to measure and monitor this proportion. We may also use your property status to determine on which matters you may vote, e.g. to canvas the opinions of leaseholders on matters which only pertain to leaseholders.
All of the above information are gathered explicitly when you provide them in our membership form upon signup for a new membership, and upon renewal of your membership.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for 30 minutes, unless you explicitly choose to remain logged-in for 30 days, in which case they last for 30 days. Screen options cookies last for a year. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Analytics
This website uses Posthog, an analytics service hosted in the EU. We use its reports to help us understand website traffic, performance, and usage. Your IP address is seen by the data collector for the purposes of bot detection and identifying from which country you have visited the site. Your IP address is then immediately discarded; it is not stored with analytics events and cannot be retrieved by us. We do not send any further identifying details such as your BA membership ID to Posthog.
Who we share your data with
We use MemberMojo to manage our membership records. If you choose to sign up as a member of the BA, you will be taken to MemberMojo’s website to complete the registration form. MemberMojo is the processor of your membership information. Your membership details are saved there, and kept in sync with barbicanassociation.co.uk.
We use Mailtrap to send transactional emails. If you choose to log in to your member account on barbicanassociation.co.uk, we use Mailtrap to send you a 6-digit code. With this code you can log in to your account. We do not share any of your other details with Mailtrap. It is necessary to share your email address with Mailtrap strictly for the purpose of them sending the email to you. Mailtrap do not use your email for any other purpose. If you never log in on barbicanassociation.co.uk, your email will never be seen by Mailtrap; data-sharing occurs only at the moment that a 6-digit code needs to be sent. Mailtrap’s servers are based in the United States. Mailtrap complies with the EU-U.S. Data Privacy Framework (EU-U.S. DPF), the UK Extension to the EU-U.S. DPF, and the Swiss-U.S. Data Privacy Framework (Swiss-U.S. DPF) as set forth by the U.S. Department of Commerce. They can lawfully receive UK and EU data.

We will not share your personal information with, or sell it to third-party marketers.
If you choose to subscribe to our email list we will use the following third-party service providers to process and store your data:
Mailchimp, which we use to manage email subscriber lists and send emails to subscribers.
We will not share your personal information with or sell it to any other third-party unless we have you permission, or the law requires us to.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
If you are a BA member, we store your membership information, described above, for as long as you remain a member. You can see, edit, or delete your personal information at any time by logging in to your MemberMojo account. Website administrators can also see and edit that information.
When users leave a comment they can choose to check a comments consent box, which means that WordPress will remember your details when you next leave a comment.
If users choose to not check this box they will have to manually enter their name, email, and website every time they leave a comment.
For users that subscribe to our email list, we will store the personal information they provide in the sign-up form. This information will be stored using the third-party service provider Mailchimp and the information will be retained for as long as we have your consent. All subscribers can see, edit or delete their personal information at any time. Please refer to Mailchimp’s privacy policy for further information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
If you have subscribed for to our email list, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can update the personal data we hold about you using the link found in any of our email you receive through this list. You can also unsubscribe at any time using the link in any of those emails. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
